We are seeking a full time Administrative Assistant in our corporate office.
This position would:
Answer and direct all incoming phone calls for SMR Management Maintain and update property information on daily/weekly basis, support staff for site staff, etc.
Send delinquent accounts to collection agency daily/ monthly with weekly update to office manager Ordering and updating of property/site forms Assist in preparing and sending out of yearly Certificate of Rent Paid (CRP) forms, including corrections and reprints Maintain general organization of the office (i.
e.
Fill up breakroom supplies, clean up the conference table, replace batteries in the clocks, clean up the back room,) Run errands for the office/department Yearly- make the boxes for bookkeeping for end of year files Update files for denied applications/move out files End of Year:
Box up tenant move out files and put in storage Support staff to the Regional Management Team Eviction Letters - under advisement of Regional Manager's Completion of landlord verifications for former tenants Complete shelter verification forms from agencies Organize and keep training boxes up to date Maintain and update training manuals Assist Regional Managers with special projects File tenant information for Regional Managers Marketing Daily Marketing of properties with vacant units.
Copy and distribute marketing to site manager for their marking book with update to Regional Manager's Weekly check-ins with Regional and Site Staff on vacancy status Create Brochures and Flyer for site manager marketing Maintain and update the SMR Management website on a weekly basis Update site pictures Update name/phone/fax Posting on various social media sites for open units Other Duties:
Other duties may include training on-site staff, attending education seminars and assisting the project manager and certification clerk on tenant files.
Knowledge of:

Perform varied and responsible secretarial and administrative assistant duties to relieve the Director of administrative and clerical detail.

Maintain a variety of records, logs and files.
Operate standard office equipment including a computer and assigned software.
Analyze situations accurately and make decisions in procedural matters without immediate supervision.
Understand and carry out oral and written instructions.
Establish and maintain cooperative and effective working relationships with others.
Meet schedules and time lines.
Communicate effectively both orally and in writing.
Complete work with many interruptions.
Perform arithmetic calculations quickly and accurately.
